Digital Art& Magazine: a digital academic indexed publication, created and generated in a collaborative, decentralized, voluntary and virtual manner.

ABSTRACT

This paper intends to present the process of creation, development and maintenance of a collaborative project: Art& Digital Magazine. It emerged from a debate in a discussion group and is supported through the Internet by a group of voluntary professionals compromised to the cause of Art Education, Art& Digital Magazine is the first digital indexed publication on art education in Portuguese language and, currently, the only one of the sort in Brazil. This paper shortly describes the three years of existence of the publication, the publishers´ expectations when initiating the magazine, the problems faced, the solutions found and, finally, the plans for the next years.

1. What is Art&?

It is an academic and thematic semiannual magazine for the publicity and promotion of art education, culture, communication and production. Created, developed, supported and managed in a completely virtual way, by voluntary and collaborative work. Its targets are art professors, students, artists and researchers. The magazine presents, as an editorial feature, the publication of fully complete texts resultant of research papers summaries, case studies resultant of applied projects and it is still open to monographs and contributions from all fields of knowledge that may collaborate to the magazine’s enrichment.

The magazine relies on a permanent group of editors, journalists, an ombudsman and a respectable and competent editorial council formed by professors, PhDs, members of a variety of artistic fields and representatives of eighteen research institutions of recognized quality.

2. How it began.

In November 20th, 2002, in the discussion group Arte-Educar[i] (Art-Education), Professor Afonso Medeiros, PhD, suggested in message number 14.717:

 “And speaking of this, isn’t it about time we fight for a publication on the web?” [ii]

 This suggestion was soon accepted and supported, as it can be seen in the messages that came up. Professor Itamar was the first one to express interest in the message number 14.921[iii] of November 21st, 2002:    

Tell me more about this publication... Interesting...”

 Followed by Professor Jurema Sampaio-Ralha (current editor in chief), in message number 14.922[iv], she wrote:

 “Well, if you intend to head any project in that area you can count on me, okay? ‘In fact, in my personal website there is space for publications, have you visited it? :)”

 The subject started “warming up” and the magazine started taking shape. In January 27th, 2003 the group had its own head office, with a virtual address exclusively dedicated to the debates about the magazine.

 As a proof of her support to the magazine idea, Professor Ana Mae Barbosa sent us, as a gift, an unpublished article of her authorship to be published in the magazine. It is called “Art Education in Brazil: from modernism to post modernism” and was published in magazine number zero, released in October 15th, 2003 with the approval of all group members. Naturally, we understand that a big part of all of Art’s success comes from this support given by Professor Ana Mae Barbosa and, therefore, we will always cherish her as the magazine’s “godmother”.

 3. Project members’ expectations:

Many expectations prompted the magazine group members to engage in the process and by coincidence or due to the ideals related to Art-Education, many of those expectations are shared. From the expectation of participating in a big project and the courage of taking it forward, the genuine interest for Art, the development of educators, to the TICs. The magazine would be a tool that connects all these items. Another common subject within the expectations is to build something different, new, in favor of the learning process not only of the magazine group but also of its readers (which are mainly teachers, art-educators and researchers). We can also name among the expectations the interest for challenge, creation per se, and for the fact of this being the world’s first publication of the genre in Portuguese and the first and only in Brazil, also for the will to create a space for reflection and dialogue among art-educators about the art teaching methodology in the country, with a totally innovative vision.

4. Experience on similar projects:

There was no previous experience on similar projects (not in my report, or Anna Rita’s or Martha’’).           

5. Who makes it? 

The work group that maintains Art& is made of art-teaching professionals that, as volunteers, accepted the tasks of producing, managing and maintaing the magazine for an indefinite period of time. These professionals are spread out in many geographic regions and work in a virtual way and in a virtual space destined for the debates about the magazine. There are three different ways of working for the magazine: to belong to the group called assembly (currently with 42 registered members that have already exchanged more than one thousand messages, which are all filed), to belong to the council (by an invitation from the assembly), or to belong to the board of directors by a voluntary wish expressed and accepted by the assembly through an open election.

One of the first decisions of the group was made by direct election which was the choice of the magazine’s name: Digital Art& Magazine. This is one of the matters in which the administration takes pride on: all decisions are made collectively, by direct election, supported by digital control and follow-up devices with absolute transparency and open to all group members.

5.1 The Assembly

To be part of the assembly, it is necessary to register in the group’s virtual address and begin acquaintanceship. All subjects treated in the group are considered to be known by the assembly, which is formed by the entire members of the discussion group. Thus, all the decisions are acknowledged, debated and consented by the assembly in order to be applied. 

5.2  The Board of Directors 

The Board of Directors is presently formed by the following professionals: Professor Jurema Luzia de Freitas Sampaio-Ralha, MA – Chief Editor and Treasurer; Professor Anna Rita Ferreira de Araújo, MA – Project and Didactical Resources Editor; Professor Martha Maria Prata-Linhares, PhD - Commented Websites Editor; Professor Gisele Torres Martini –Commented Books Editor; Professor Ester Marçal Fér, MA – Commented Film Editor; Professor Itamar Alves L. Santos, MA – Commented Agenda and Events Editor; Professor José Afonso Medeiros Sousa, PhD – Ombudsman; Professor Márcia Moreira Neves, Specialist – Chief Journalist – professional license number DRT/RJ 30181/96 and Professor Siomar Kohler Ziegler, Specialist – Chief Journalist professional license number DRT/CE 10884/97. 

Areas under the responsability of the Board of Directors: 

5.2.1 General Editorial 

A chief editor is responsible for the orientation of the area editors, the issue’s editorials as well as receiving and referring works to the Editorial Council for approval. All communication among authors and counselors must go through the general editorial which is also responsible for the selection of the articles approved for publication by the council. The thematic issues may have a special editorial, if necessary, but they will be considered special and will not substitute the magazine’s regular editorial. 

It is also the general editorial’s responsibility to establish deadlines for handing in works and closing editions; to choose a theme (whenever necessary and accepted by other editors); to invite the artist (when there is one) who’s portfolio will be presented in the edition; to introduce interviews (whenever necessary) which are handled by chief journalists; to respond and sign in the name of the magazine as well as authorize sponsorship terms and financial support for the project. At a proper time, a treasurer will be nominated but nowadays the chief editor takes on this role and other responsibilities coming from it. 

5.2.2 Projects and Didactical Resources 

This area’s editor is responsible for establishing a communication and presentation channel for art teaching projects developed or under development in schools, universities, cultural institutions, in the third sector and related sectors in order to publicize not only projects but also discussions and reflections about the foundation and methodology of the art related teaching-learning process, that those projects may evoke on professionals and interlocutors in the field.

 5.2.3 Commented Websites 

An area destined to present a selection of published websites in the magazine with the objective of providing the visitors with artistic and pedagogical resources for their personal development as a support to their professional performance as art teachers.

 5.2.4 Commented movies 

It is characterized by presenting reviews and analysis of movies that have artistic and/or educational value and by providing information about artistic cinematographic production through interviews with cinema producers and thinkers, whenever possible.

 5.2.5 Commented Books and Book Reviews

Presents reviews of books with artistic and/or educational value in the art field and its many forms of work and knowledge. Provides readers with a critical vision about existing publications and new ones in the field, with the purpose of assisting in the preparation of a consistent and up-to-date bibliography in the five great areas proposed as the magazine’s focus.

5.2.6 Commented Agenda and Events 

The agenda’s role is to disclose significant events of the art field and to offer information along with critical commentaries about exhibitions, courses and events in the artistic environment in general.

5.3 The Council

The creation of the Academic Editorial Council was done through invitation from the chief editor that was sent by e-mail directly to the main academics in each field, whose names were suggested by the group during debates. The group chose to invite academics who have an effective performance in their fields in order to define a profile that was more aligned with the publication’s objectives, which is to be a magazine dedicated to the publication of works that deal with the central theme (Art Education).

The Academic Council was officially constituted in December 31st, 2003 and was formed by PhDs, members of research and academic staff of the most recognized education and research institutes, which expressed their wish to accept the invitation. Council members take on a lifelong term of office and will only abandon it by their own will or if they cease to carry out their obligation to the magazine, with no given explanation, for longer than three consecutive editions.

 We understand that all of Brazil’s regions are represented in the Editorial Council, which gives our publication a multicultural vision about art education in our country. We are running towards the Council’s internationalization, but the member invitation standard remains unchanged: quality.

 6.   How we make the magazine.

The proposition of developing a collaborative work is followed literally. This way, from the beginning, all decisions were taken by open democratic vote, through devices available in Yahoo Groups where the discussion list is hosted. The magazine’s own name in the initial debates was chosen in that way. A survey with the name suggestions was made and by direct, open and roll call vote the simple majority decided the publication’s name. 

The creators of the magazine chose not to bind it to any university or other existing institution. The choice was taken as a way to guarantee one of the publication’s principles of being favorable to free and open knowledge and being characterized as a “resistance focus” inside the system and against the system. In other words, being free of institutional obligations so, that the magazine may be maintained as long as it attends these principles: liberty, wide access and free of charge.

For the maintenance of the publication’s expenses, its own members accept voluntarily a monthly payment of R$ 10,00 (ten reais). This monthly payment plus the business partnerships with book selling through the website finance and support the magazine. Account rendering is presented to the council on a monthly basis and the lodging and maintenance expenses are verified by turning in and filling in receipts and invoices. 

Being part of the group or even being a candidate to become a member of the board of directors is not conditioned to the monthly payment. Currently, only six members pay regularly.

 7. Gratifications and/or troubles during the process, until now:

Seeing the magazine issues ready is a great satisfaction for the entire group since we know about the difficulties of the process of creating a complete issue with no physical contact. Virtual contact demands redoubled patience; one’s own time is different from other editors´ or collaborators’ time. These are the disadvantages. Satisfaction echoes when someone talks about the magazine, demonstrates an interest for it or even when it is mentioned (Art& served as an inspiration to the creation of E-Curriculum magazine, part of the graduation program in Education: Curriculum, from PUC-SP, also created through a discussion list where Prof. Martha Maria Prata Linhares, Commented Sites Editor, made observations of the creation process of Art& magazine, thus providing the scope for the creation of E-Curriculum which already has a call for open publication). Art& also sets up one more space for one’s practice, adding a new “spice” to some type of path already trailed for some time in the Art Education field, like in Professor Anna Rita de Araújo’s case, Pedagogical Projects Editor, whom being a teacher to Art Educators since 1995 found the magazine to be an opportunity to experiment a new trail for the discussion of art teaching methodology in Brazil.

8.  Obtained results until now. 

Presently, Art& Digital magazine is on its third year of existance, having published issue 3 last April. Until this issue, 38 works have been, including:

 - 24 Articles (1 in number 0; 10 in number 1; 7 in number 2 and 6 in number 3)

- 5 Experience Reports (3 in number 2 and 2 in number 3)

- 4 Reviews (3 in number 1 and 1 in number 3)

- 5 Thematically Essays (4 in number 2 and 1 in number 3)

- 2 Interviews (in number 1)

- 1 Extended Summary (in number 3)

- 1 Translation (in number 1)

- 1 Lecture Transcription (in number 1) 

There were 19 books, 28 websites, 6 movies and 322 events in the cultural agenda analyzed, commented on and pointed out. Magazine members participated in a variety of academic events as panelists, giving workshops where the authors presented their works published in the magazine and their way of working virtually. 

The works exhibited brought to notice of the academic community in many fields on the way the magazine is made. The most recent work was Society for Information Technology & Teacher Education International Conference, March, 2005, Phoenix, Arizona. Editor Prof. Martha Maria Prata-Linhares was present at the event as the magazine’s representative. Other events and publications where the magazine was exhibited, with works of multiple authors (2004 and 2005) were:

9. Planning for the future

With the increasing reader’s demand and due to the many requests of foreigner authors, the publication evolves to become an international one. Therefore, international level professionals are being invited from many countries to be part of the Academic Council. Among the invited we cite Prof. Fernando Hernandez, PhD, from Spain, who has already accepted the invitation and from issue number 5, expected to be released in April 2006, he officially becomes part of the body of counselors of Art& magazine.

It is also foreseen, as a project that is waiting for sponsorship budget, the creation and implementation of a Thesis and Essays Bank which intends to group all national production related to the Art Education theme, and act as a guide keeping the characteristics of the publication: wide access and being free of charge. For this purpose, a sponsorship project is being written, and will be referred to public and private research financing institutions which could be interest in the proposition.

The magazine project anticipates the launching of a printed copy, including the content of the first five issues as a printed registration of the digitally published material. This project, which still does not have an issuing date, intends to be a commemorative mark on the conquered space in the Art Education field in Brazil. 

10. Final Considerations

This is a collective, collaborative and experimental project. It is coordinated by Professor Jurema Luzia de Freitas Sampaio-Ralha, who is the current chief editor. As this is a non-profit organization, the participation and collaboration of the editors and counselors is voluntary and without reward (as provided in a contract signed by the involved parties).

The duration of this project is not established and it can be enclosed when its continuity is no longer viable, then editors must refer a formal correspondence to all the persons involved and communicate the matter. To leave the council, the interested part should formally inform, by any type of registered communication (letter, telegram, fax, e-mail etc), his or hell will. If the person does not express this will for more than three consecutive editions, the counselor will be dismissed of the board automatically. 

The opinions expressed in signed articles are of the entire legal responsibility of its authors. Editors, assembly or counselors should not be held responsible. The authors are aware of this matter in the regulation of the publication, and upon sending their works for appreciation they assume and accept this regulation.
